You've found a venue that looks perfect in the photos. Before you put down a deposit, make sure you've covered these five critical areas.
1. What's Actually Included in the Hire Fee?
The headline price can be misleading. Ask specifically about:
- Tables and chairs — are they included or an extra charge?
- AV equipment — projectors, screens, microphones
- Staff — bar staff, security, event coordinators
- Cleaning — before and after the event
- Parking — is there a car park, and is it free?

2. What Are the Noise and Curfew Restrictions?
This catches out more organisers than you'd think:
- What time does music have to stop?
- Are there decibel limits?
- Are there restrictions on outdoor events?
- Do neighbouring residents need to be notified?
3. Who Are Your Preferred Suppliers?
Some venues have exclusive supplier lists — you must use their caterer, bar, or AV company. Others are more flexible. Understand:
- Is the catering in-house or can you bring external caterers?
- Can you bring your own alcohol (corkage fees)?
- Are there restrictions on decorations or set dressing?
4. What's the Cancellation Policy?
Life happens. Before you sign:
- What's the deposit, and is it refundable?
- What's the cancellation timeline and penalty structure?
- Is there event insurance available?
- What happens if the venue has to cancel (e.g., building issues)?
5. What's the Accessibility Situation?
Often overlooked but critically important:
- Is the venue wheelchair accessible?
- Are there accessible toilets?
- Is there step-free access to all event areas?
- Is there nearby accessible parking?
